Who we are
VanInvoice is owned and operated by Sovereign Arc Software Ltd, registered with the Information Commissioner's Office (ICO).
What we collect
Account details (email, trading name, currency, language, tax rate), optional bank transfer details you choose to print on your invoices, the client details and line items you create, and voice recordings you dictate in the app.
Voice audio and AI processing
Voice recordings are sent to OpenAI Whisper for speech-to-text and to Claude AI for extracting the job details into invoice line items. This audio and the resulting text are used solely to produce your quotes and invoices. They are never sold, rented or shared with third parties for advertising, profiling or model training by us.
Payments
Subscription payment processing is handled securely by Stripe in compliance with PCI-DSS standards. We never see or store your full card details.
Sharing and storage
Your data is stored on our managed cloud database with row-level security so only you can access your jobs. Invoices you share by link are visible to anyone holding that link.
Your rights
You can access, correct, export or delete your data at any time. Contact us to make a request or to raise a concern; you also have the right to complain to the ICO.
